Wayne Veitch Fitness (WVF) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, store, and handle your personal information when you use the WVF Training App (the App) at app.wvfitness.com.au.

The App is operated by Wayne Veitch Fitness, based in Geelong, Victoria, Australia. We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

By using the App, you agree to the collection and use of your information in accordance with this policy. If you do not agree, please do not use the App.

2. Who This Policy Applies To

This policy applies to all users of the WVF Training App, including:

  • Clients — individuals enrolled in a WVF coaching program who access their personal dashboard
  • Coach — Wayne Veitch, who accesses the coach portal to manage clients and programs

3. What Information We Collect

3.1 Information you provide directly

When you use the App, we may collect the following personal and health information:

  • Your full name and email address
  • Your body weight (recorded as part of weekly check-ins)
  • Lifestyle and wellness ratings (sleep quality, nutrition, training effort, and similar)
  • Free-text comments you write as part of your weekly check-ins
  • Food diary entries (meals and water intake)
  • Progress photos (if submitted as part of a monthly check-in)

3.2 Information collected automatically

We collect limited technical information to operate the App, including:

  • Login credentials (email address and password, stored securely via Supabase Auth)
  • Session data required to keep you logged in
  • Basic usage data to support the functioning of the App

We do not use third-party analytics tools or advertising trackers.

4. How We Use Your Information

Your information is used only for the following purposes:

  • To provide you with your personal coaching dashboard and training program
  • To allow your coach (Wayne) to review your check-ins and provide personalised replies
  • To send you email notifications when Wayne replies to your check-in (via our email provider, Resend)
  • To display your progress over time through weight trend charts and rating summaries
  • To store and display your food diary entries
  • To give you access to resources and documents uploaded by Wayne

We do not use your information for marketing purposes, and we do not sell or share your information with third parties for commercial gain.

5. Who Can Access Your Information

Access to your personal information is strictly limited:

  • You can access your own information via your personal dashboard
  • Wayne Veitch (your coach) can access your check-ins, progress data, food diary, and progress photos in order to provide coaching services
  • No other clients can access your information — each client account is isolated
  • WVF does not share your information with any third party except as described in Section 6

6. Third-Party Services

The App relies on the following third-party services to operate. Each handles your data in accordance with their own privacy policies:

  • Supabase (supabase.com) — database, authentication, and file storage. Your data is stored on Supabase servers. Supabase is a US-based provider.
  • Vercel (vercel.com) — application hosting and deployment. US-based provider.
  • Resend (resend.com) — transactional email notifications (e.g. check-in replies). Only your email address and the notification content are passed to Resend. US-based provider.

As these providers are based in the United States, your data may be stored and processed outside of Australia. By using the App, you consent to this transfer. We have selected providers with strong security and privacy practices.

7. Data Storage and Security

We take reasonable steps to protect your personal information from misuse, interference, loss, and unauthorised access. These measures include:

  • All data is stored in a secured database with Row Level Security (RLS) enforced — meaning each user can only access their own records
  • Passwords are never stored in plain text — authentication is handled securely by Supabase Auth
  • Progress photos and uploaded files are stored in secured, access-controlled storage
  • The App is served over HTTPS at all times
  • Access to the coach portal is restricted to Wayne's authenticated account only

While we take security seriously, no system is completely immune to risk. We encourage you to use a strong, unique password for your account.

8. Data Retention

We retain your personal information for as long as you are an active client of WVF, and for a reasonable period afterwards in case of queries or disputes.

If you would like your data deleted, please contact us using the details in Section 11. We will action deletion requests within a reasonable timeframe.

9. Your Rights

Under the Australian Privacy Principles, you have the right to:

  • Request access to the personal information we hold about you
  • Request correction of any information that is inaccurate or out of date
  • Request deletion of your personal information
  • Make a complaint if you believe your privacy has been mishandled

10. Complaints

If you have a complaint about how we have handled your personal information, please contact us in the first instance and we will work to resolve it with you.

If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.
